Special Events Associate

Description:Days. Some evenings and weekends.

Special Events Associate assists Special Events Manager on all Hospice Foundation special events, promotions, internal fundraising and ceremonies.

Responsibilities include, but are not limited to:
-Follows plans of work for event logistics including print, permits, auctions, raffles, signage orders, layouts/schematics, sponsorship confirmations, thank you letters, maintaining all documents and files properly
-Assists with managing on-site production of events
-Oversees auctions including solicitations, follow-up, & logging (maintaining accurate database)
-Attends committee meeting and takes minutes
-Prepares all necessary promotional print materials - including graphic design work
-Prepares volunteer requests, fliers and confirmation letters
-Oversees volunteers at events and work days
-Serves as liaison with vendors & printers, requests quotes, and submits necessary paperwork
-Assists with event related data entry
-Oversees all third party groups and organizations including all details of mall promotions, third party recruitment, correspondence, monthly reports and retention
-Works with Marketing Department to provide necessary information to be included on web and Facebook
-Performs other duties as requested
Qualifications:-Associates degree required; Bachelors degree preferred
-Minimum two years experience in event planning or fundraising; non-profit experience preferred
-Requires exceptional organizational skills and attention to detail
-Self-starter and is able to function as part of a team
-Excellent communication skills, including writing, proof reading skills and speaking
-Ability to manage multiple projects and work assignments at one time, discern work priorities and meet deadlines
-Excellent interpersonal skills both in person and on the phone, with high professionalism
-Fantastic customer service and high expectations for quality
-Computer expertise includes: Microsoft Word, Excel, mail merges, graphic design programs InDesign, Illustrator, Quark, Photoshop experience (preferred, not required)
-Ability to understand and articulate Hospice programs
